Manual Payroll Was Eating the Week
Our client, a growing home care agency in Georgia, was managing weekly payroll for 30-40 contractors — processing $4,000 per week ($800/day) in contractor payments. The problem? QuickBooks doesn't import time data from QuickBooks Time directly into payroll.
Every Friday, the office manager spent 8 hours manually entering hours for each contractor — copying data from time tracking into QuickBooks, double-checking entries, fixing errors, and hoping nothing was missed.
But that wasn't all. After payroll ran, QuickBooks only sent contractors a generic Intuit notification — no details. The manager then spent another 4-5 hours manually creating individual paystubs, adjusting each one, and emailing them one-by-one. Total: 12-13 hours every single week.

We built a Python script that bridges the gap QuickBooks left open. The solution takes the CSV export from QuickBooks Time, transforms it into the exact format SaasAnt needs, and imports directly into QuickBooks for payroll processing.

After solving the payroll import problem, we tackled the next bottleneck: paystub creation was taking 4-5 additional hours every week.
QuickBooks doesn't generate paystubs for contractor payments. Contractors only received a generic Intuit notification — no details about hours, rates, or year-to-date earnings. The office manager had to manually create each paystub, adjust the numbers, and send individual emails to 40+ contractors.
We built a companion script that integrates with Google API and Intuit API to generate professional, branded paystubs and email them directly to contractors — all in about 30 minutes with zero manual intervention.
From Custom Solution to Product
The solution worked so well that other home care agencies started asking for it. What started as a custom project has become a productized tool we now offer to the broader home care industry.
